Terms & Conditions
GIO Event Solutions LLC
Effective Date: 01 Jan 2026
These Terms and Conditions apply to the use of our website and services provided by GIO Event Solutions LLC. By using our website, requesting a quote, scheduling a consultation, booking services, or making payment, you agree to these Terms and Conditions.
1. Services
GIO Event Solutions LLC provides event-related services, which may include event organization, DJ services, lighting, decorations, special effects, event setup support, event coordination, bartending coordination, and other event support services.
Specific services will be listed in the client’s quote, invoice, contract, or written agreement. Services are not confirmed until the required consultation fee, deposit, or payment has been received and accepted by GIO Event Solutions LLC.
2. Pricing
Pricing depends on the size, length, location, complexity, equipment needs, staffing needs, setup requirements, and type of event. Any prices shown on our website, social media, advertisements, or verbal estimates are general estimates only and may change based on the final details of the event.
Additional fees may apply for travel, parking, venue requirements, extended hours, rush bookings, special equipment, additional staff, difficult setup access, stairs, outdoor conditions, late-night service, or changes made after booking.
3. Consultation Fee
A consultation fee may be required for planning meetings, event walkthroughs, quote preparation, design planning, scheduling, or other pre-event services.
Consultation fees are non-refundable. This fee compensates GIO Event Solutions LLC for time, planning, communication, recommendations, scheduling, and professional guidance provided before the event.
Payment of a consultation fee does not guarantee event availability unless a separate deposit, agreement, invoice, or booking confirmation is completed.
If the client decides not to book services after the consultation, the consultation fee will not be refunded.
4. Deposits and Payments
A deposit may be required to reserve an event date. Unless otherwise stated in writing, deposits are non-refundable because they secure the date and may prevent GIO Event Solutions LLC from accepting other bookings.
The remaining balance must be paid by the deadline stated on the invoice, quote, or service agreement. Failure to pay on time may result in cancellation of services.
GIO Event Solutions LLC may refuse to provide services if payment has not been received as agreed.
5. Cancellations and Rescheduling
Cancellation and rescheduling terms may vary depending on the event, services booked, amount paid, materials purchased, staff scheduled, and amount of notice provided.
If a client cancels after booking, the deposit may be forfeited. If the client reschedules, GIO Event Solutions LLC will make reasonable efforts to accommodate the new date, but availability is not guaranteed. Additional fees may apply.
If the requested new date is unavailable, the booking may be treated as a cancellation.
No refund will be provided if services are interrupted, delayed, limited, or stopped due to unsafe conditions, guest misconduct, venue restrictions, weather, lack of power, lack of access, or client failure to provide accurate event details.
6. Client Responsibilities
The client is responsible for providing accurate event information, including date, time, location, venue rules, setup access, parking details, power availability, contact person, event timeline, and any special requirements.
The client is also responsible for obtaining all required permits, venue approvals, licenses, permissions, or authorizations needed for the event unless otherwise agreed in writing.
The client is responsible for guest behavior, venue compliance, alcohol-related requirements, safety, and any rules set by the event location.
7. Venue Requirements
The client must ensure that the venue allows the requested services, including DJ/music, lighting, decorations, fog, cold sparks, special effects, bartending services, or other event enhancements.
Some venues may restrict certain equipment, decorations, sound levels, special effects, alcohol, outside vendors, or setup areas.
GIO Event Solutions LLC is not responsible if a venue refuses, limits, delays, or stops any service due to venue rules, safety concerns, permit issues, or legal restrictions.
8. Alcohol Policy
GIO Event Solutions LLC does not sell, provide, purchase, supply, distribute, or serve alcoholic beverages. GIO Event Solutions LLC is not a liquor store, alcohol caterer, bar, or licensed alcohol provider.
If alcohol will be present at an event, the client is fully responsible for purchasing, supplying, transporting, storing, and controlling all alcoholic beverages. GIO Event Solutions LLC does not take ownership, possession, control, or responsibility for alcohol at any time.
If bartending services are requested, GIO Event Solutions LLC may help coordinate or refer third-party bartenders, licensed alcohol caterers, or bar service providers. Any bartender, alcohol caterer, or bar service provider is an independent third party and is responsible for their own licensing, permits, insurance, compliance, conduct, and service of alcohol.
GIO Event Solutions LLC does not guarantee that any third-party bartender or alcohol-related vendor is properly licensed, insured, permitted, or legally authorized. The client is responsible for verifying that any bartender or alcohol-related vendor meets all legal, venue, and insurance requirements.
The client understands that alcohol service may require permits, licensed bartenders, licensed alcohol caterers, venue approval, insurance, security, or other legal requirements depending on the event location and type of event.
GIO Event Solutions LLC is not responsible for obtaining liquor licenses, alcohol permits, bartender permits, alcohol insurance, venue alcohol approval, or any other alcohol-related authorization unless specifically agreed to in writing and legally permitted.
The client agrees that GIO Event Solutions LLC is not liable for alcohol-related incidents, including but not limited to intoxication, underage drinking, over-service, fights, injuries, accidents, property damage, DUI incidents, medical emergencies, law enforcement action, permit violations, fines, penalties, venue shutdowns, or claims involving alcohol consumption.
GIO Event Solutions LLC reserves the right to refuse, pause, or stop services if alcohol-related behavior creates an unsafe, illegal, or disruptive environment.
9. Third-Party Bartenders and Vendors
Any bartender, caterer, alcohol provider, vendor, entertainer, security provider, or other third-party professional used at the event is an independent contractor or separate business.
GIO Event Solutions LLC is not responsible for the actions, omissions, licensing, insurance, performance, delays, pricing, negligence, or legal compliance of third-party vendors.
If GIO Event Solutions LLC helps recommend, refer, or coordinate a third-party vendor, that recommendation is provided as a convenience only. The client is responsible for reviewing, approving, hiring, and paying any third-party vendor unless otherwise stated in writing.
The client is responsible for ensuring that any bartender, alcohol provider, or alcohol-related vendor has the proper licenses, permits, insurance, and legal authority to provide services at the event.
10. Client Responsibility for Alcohol
If alcohol is present at the event, the client agrees to:
Purchase and provide all alcohol directly, unless using a properly licensed alcohol provider;
Ensure alcohol is only served by properly qualified or licensed individuals when required;
Prevent underage drinking;
Prevent visibly intoxicated guests from being served;
Follow all venue rules, local laws, permit requirements, and alcohol regulations;
Provide security or crowd control if needed;
Accept full responsibility for alcohol-related risks and incidents.
GIO Event Solutions LLC does not monitor alcohol consumption, check IDs, control guest drinking, supervise alcohol service, or enforce alcohol laws unless specifically agreed to in writing and legally permitted.
11. Safety and Conduct
The client agrees to provide a safe environment for GIO Event Solutions LLC staff, contractors, equipment, guests, and vendors.
GIO Event Solutions LLC reserves the right to stop services, pause services, remove equipment, or leave the event if unsafe conditions occur, including but not limited to violence, threats, intoxicated or aggressive behavior, unsafe weather, electrical hazards, unstable surfaces, crowd control issues, illegal activity, or damage to equipment.
No refund will be required if services are stopped because of unsafe conditions caused by the client, guests, venue, vendors, alcohol-related behavior, or circumstances outside our control.
12. Damage to Equipment
The client may be financially responsible for damage, theft, loss, or destruction of GIO Event Solutions LLC equipment caused by the client, guests, venue staff, vendors, children, pets, weather, spilled drinks, or attendees.
This includes but is not limited to speakers, lights, DJ equipment, cables, decorations, special effects equipment, tables, stands, and other property.
Clients and guests should not touch, move, adjust, unplug, or operate GIO Event Solutions LLC equipment without permission.
13. Weather and Outdoor Events
For outdoor events, the client must provide a safe, dry, covered, and stable setup area unless otherwise agreed in writing. Electrical equipment must be protected from rain, water, wind, extreme heat, dust, and unsafe conditions.
GIO Event Solutions LLC may refuse to set up or may stop services if weather or outdoor conditions create a safety risk.
No refund will be required if services cannot be performed because of unsafe weather, lack of cover, lack of power, or unsuitable setup conditions.
14. Music, Sound, and Noise Restrictions
The client is responsible for knowing and following venue rules, city ordinances, neighborhood rules, and sound restrictions.
GIO Event Solutions LLC is not responsible for fines, penalties, shutdowns, police involvement, venue complaints, or service interruptions caused by sound limitations, venue rules, neighbors, or law enforcement instructions.
15. Decorations and Special Effects
Decorations, lighting, fog, cold sparks, or other special effects may be subject to venue approval, fire code rules, safety requirements, and equipment availability.
GIO Event Solutions LLC reserves the right to refuse, modify, or stop any decoration or special effect that may create a safety risk or violate venue rules, fire safety rules, or legal requirements.
16. Limitation of Liability
To the fullest extent permitted by law, GIO Event Solutions LLC is not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, emotional distress, event disruption, loss of enjoyment, or reputational harm.
GIO Event Solutions LLC is not responsible for injuries, accidents, property damage, venue restrictions, guest behavior, alcohol-related incidents, weather issues, power failures, vendor delays, law enforcement action, or circumstances outside our reasonable control.
Our total liability for any claim related to services shall not exceed the amount paid by the client to GIO Event Solutions LLC for the specific event giving rise to the claim.
17. Assumption of Risk
Events may involve inherent risks, including dancing, lighting effects, sound equipment, cables, decorations, special effects, crowded spaces, alcohol consumption, weather, and movement around equipment.
The client understands and accepts these risks and agrees to take reasonable steps to protect guests, vendors, staff, and property.
18. Force Majeure
GIO Event Solutions LLC is not responsible for delays, cancellations, or failure to perform caused by events beyond our reasonable control, including severe weather, natural disasters, illness, accidents, government restrictions, power outages, venue closures, emergencies, labor shortages, transportation issues, equipment failure despite reasonable maintenance, or acts of God.
19. Photos, Videos, and Media
Unless the client requests otherwise in writing before the event, GIO Event Solutions LLC may take photos or videos of event setups, decorations, lighting, equipment, special effects, and event atmosphere for promotional use, including on our website, social media, portfolio, or advertising.
We will make reasonable efforts not to use private, sensitive, or embarrassing content. Clients may request removal of specific media by contacting us.
